Who is responsible, and how to reach us

This page covers sentryfoe.online, the customer dashboard, the SentryFoE bot and our Discord server. For anything about your data (a copy of it, a correction, or deleting it), write to support@sentryfoe.online from the email address on your account, or open a ticket in our Discord.

What we store, and why

Your account

Your email address, your password (stored only as a one-way hash, never the password itself), when you signed up and confirmed your email, your licence dates, and your invite code and who invited you. We need these to run your account and your licence.

The computer your licence is on

A random ID the bot creates the first time you sign in (it is not a hardware fingerprint), which other accounts have used the same ID, when it last checked in, and the IP address it last checked in from, with the country that address belongs to (looked up on our own server). We keep only the latest IP address. This is how a licence stays on one computer, and how we spot shared or resold accounts.

Your copies of the bot

Every copy you download is marked with your account, and we record when it was made and which version it is. That lets you download it again, and lets us trace a copy that leaks.

While the bot runs

Every two minutes the bot checks your licence and sends your settings, that day's fight totals, which features you used that day, and which Forge of Empires account it is running on: the world, your player name and id, and your guild's name and id. About every ten seconds it also sends what the dashboard's Remote control page shows: whether it is running, its current target and countdown, its last ten fights, your army names and the Guild Battlegrounds map. At the end of a season it sends your guild's result for the season recap.

Daily totals are kept. Of the settings and the live state, only the latest copy is kept. We use all of this to run remote control and your dashboard, to answer support questions and to find bugs. Your in-game identity is only ever seen by us, never shown to other customers or posted anywhere.

Bug reports

When you press Send report in the bot, we receive what you wrote, the bot's recent log (which can include sector names and the names of players you sniped), the name and version of your browser and operating system, and the bot's version. Each report is also posted to a private staff channel in our Discord.

Discord, if you link it

Your Discord user ID and username, so we can give you the customer role and let you download the bot.

Payments and our notes

What you paid, when and how, as we record it, and any notes we keep on your account to help you (for example, how you prefer to pay). Card payment is not switched on yet. When it is, Stripe handles the card and we keep only Stripe's customer and subscription references, never your card details.

Messages you send us

Emails, tickets and Discord messages, so we can answer them.

This website

Google Analytics runs only if you press Allow in the bar at the bottom of the page. It counts visits and shows which pages are read. The fonts on every page load from Google Fonts, so your browser fetches them from Google, which sees your IP address when it does. There are no ads and no other trackers. We never send marketing email.

Who else handles it

  • DigitalOcean — the server everything runs on and is stored on.
  • Resend — sends our emails (confirming your address, resetting your password).
  • Discord — account linking, the customer role, tickets, and the staff channel bug reports go to.
  • Google — Analytics (only with your permission) and Google Fonts.
  • Namecheap — forwards mail sent to our @sentryfoe.online addresses.
  • Stripe — card payments, once they are switched on.

Some of these companies are in the United States, so your data can be handled there. We don't sell your data or share it with anyone else.

How long we keep it

  • Your account data, for as long as your account exists.
  • Nightly backups of the database, for up to 30 days. Anything deleted is gone from the backups once that time has passed.
  • Google Analytics data, for at most 14 months, by Google.

If you ask us to delete your account, we delete it and everything tied to it, including your bug reports and the copies of them in our Discord, within 30 days. We keep only the record of what you paid (amount, date and email address), because accounting rules require it.

Your rights

You can ask for a copy of your data, have it corrected or deleted, object to how we use it, or take it elsewhere. Write to us as above. If you are in the EU or the UK, you can also complain to your data protection authority.

For visitors from the EU and the UK, the legal grounds are: running the service you signed up for (your account, licence, downloads, remote control and support); our legitimate interest in keeping the service secure and fixing it (device checks, abuse checks, bug reports); and your consent, for Google Analytics.

Changes

If any of this changes, we update this page and the date at the top.
